How to Book an Event Planner

It is not a very hard task to find an event company or a freelancer of event planning to take care of the party you are throwing and keep you hassle-free, the task actually is to hire the right one. Before you decide to hire one, the first things you need to do is set your objectives right for your event.  You need to rationalize some point, what kind of services are you looking for, do you have a budget, are there some specific requirements that you need to mention beforehand.

Once you have chalked down all these points clearly in your head, you can head out to hire a professional Event planner for yourself. Here are a few tips you can follow to find the best-suited planner for the job;

1) To figure out whether you have picked the right planner for your event and if they can handle the job well, ask them about the kind of events they have done prior to this. Chances are they have done such events already and handling this would be a cakewalk for them but at the same time if this is their first time; you shouldn’t b taking that kind of risk.

2) Make sure you discuss all the services they would be provided to be sure they can handle the requirement well for you. What all do you want them to do for you, list all those things and let them know at length. Like for example, you want them to take care of the food, venue, transportation, music, dancing, speakers, staffing etc. Do they have contacts with good caterers and a preferred list of venue to offer? A good event planner would always have a list ready with them.

3) It is important to discuss what all is included in their fees so that you aren’t in for a surprise later. You should discuss the charging pattern clearly with them. Clarify if the staffing requires an extra fee. Are the travel expenses included in the bill or not.

4) Who is going to be your first contact on the day of the event, clarify that first thing? You don’t want to be running around blame games of calling different people for different things. Introduce yourself well to all the people who are going to be working on your event that day. Have a face to face meeting with each one of them. Check if there is a backup support of the team in case it is needed on the event day. A reputed company is going to offer a manager for that day on your event that is going to be the one point contact for all the departments.

5) What is the policy they follow for cancellation? Make sure you ask for each and every detail there is in the contract that they make for you. If there is a situation where you have to cancel or postpone or change the dates of your event, what is the policy for that? Although you also have to keep in mind that the people who are being hired for your job will have their own set of terms and conditions. So would those arrangements be taken care of or not?

Concluding

Make sure you don’t just stick to one planner and decide everything, go through a few planners and compare who is giving you the best services at the best price. Make a background check if you can and meet or talk to the previous clients to ensure that the services were good. And then after you have been through this whole grilling process book your planner to make your event a success.
